Creating a Buyer Representation And Service Agreement

Learn how to create an agreement from start to finish — including adding contacts, completing terms, reviewing the PDF, and sending for signature.

Written by Karina Mae Cariaga

Step 1: Start a new transaction

Click New Transaction in the top right of your dashboard. Buyer is already selected as the transaction type, and you are already filled in as the Buyer Agent.

The Create New Transaction page with Buyer selected and the Buyer Agent card already filled in

Buyer is chosen for you, and your own card is already in place.

Step 2: Add your buyer

Click Add buyer. You can pick someone from your contacts, search by name or email, or use Add Contact to enter a new person without leaving the window. The selector at the top left switches between your own contacts and those shared with you.

The Add Buyer window listing contacts, with a search box and an Add Contact button

Search your contacts, or add a new one without leaving the window.

To use a contact from Follow Up Boss, import it on the Contacts page first. Once imported it appears in this list like any other contact.

Step 3: Name the transaction and choose the envelope

Two sections appear as soon as a buyer is added:

  • The transaction name is filled in from your buyer’s name. Change it to whatever makes sense for you.

  • Which envelope would you like to create for this transaction? — Buyer-Broker Agreement is already chosen.

Linked Envelopes and MLS Listing are optional here and can be left alone for a representation agreement.

The lower half of the create page: transaction name, envelope choice, Linked Envelopes, MLS Listing and the Create Transaction button

The name is filled in for you, and the agreement is already selected.

Click Create Transaction. Click creates the transaction and opens the agreement straight away.

Step 4: Set up the envelope

The envelope opens on the People step, with four steps across the top: People, Edit, Review and Sign & send. A green tick marks each one as you complete it, and a section still missing an answer is flagged so you can jump back to it.

On this step you will find:

  • Envelope Owner — you, who approves the agreement rather than signs it unless you have your own tags on the document

  • Buyers — your client, already carried over from the transaction

  • Approvers or Additional Signers and Carbon Copy Recipients, both optional

The ⋮ on each contact saves that person as a default for new envelopes, the same way you save answers in Step 5. See Adding People Presets.

Step 5: Save an answer as a default

Defaults are the biggest time-saver in Click. If you always answer a question the same way, save that answer once and every new envelope starts with it already filled in.

Answer the question first, the way you normally would. Then open the ⋮ beside the question and choose Set current value as default. If the question already has a default, the menu names it underneath, so you can see what you are about to replace.

The question settings menu open on a question, showing Add description, Set current value as default, Read-only and Remove default

The menu names the existing default, so you can see what you would be replacing.

A panel opens under the question asking who the default is for:

  • Only for me — saved to your own account and nobody else’s

  • Everyone in the account — the starting answer for every user on your account

The panel under the question reading Who are you saving this default for, with Only for me and Everyone in the account

Choose who the default applies to. The warning appears when you are replacing one that already exists.

A default is a starting point, not a lock. If your default agreement term is 180 days and one client only needs 90, change it for that transaction — the next agreement you create starts from 180 again.

To take a default away, open the same menu and choose Remove default. Removing one that belongs to the whole account asks you to confirm, because it changes the starting answer for everyone.

Step 6: Review the envelope

Click Review. Every field and initial is already filled in from your answers, shown in blue ink, and you and your client are highlighted in different colours so it is clear who is responsible for what. You can reorder the documents by dragging them in the left sidebar, and download a copy before sending.

For the tagging tools on this screen, see Tags - How to use them.

Step 7: Sign and send

Move to Sign & send. From the left sidebar you can download the documents, set reminders, change the signing order and add a note to your signer, and you can preview exactly what the signer will receive.

Sign your own portion before sending. Tick Auto-scroll to next item to move through your signature fields quickly, and pick a signature font once — you will not be asked again on later documents.

Step 8: Track the envelope

Open the transaction and go to its Envelopes tab. The agreement is listed there with its status, so you can see whether the signer has viewed it or started signing. Opening it gives you a preview of the document and the options to download, clone, void, edit reminders or re-send to the signer.
