How do I configure signing order settings in Click Contracts?

Configuring the signing order in Click Contracts allows you to control how multiple recipients sign a document. You can choose between parallel signing, where all recipients can sign simultaneously, and sequential signing, where signing must occur in a specified order. Below, we explain both modes and provide steps to configure them.

Default Signing order: All Click envelopes are setup by default with the same signing order except for the Seller Disclosures, where the Seller signs first. *NOTE: If any of the people below are not included in an envelope it automatically goes to the next person/group.

  1. Approvers: Any approvers you have added will sign in position 1 (ie. Approver 1, Approver 2)

  2. Envelope Owner: The agent signs after the approvers have finished.

  3. Sellers/Buyers/Tenants: Depending on if this a buyer envelope or a listing envelope it will go to all of them at the same time.

  4. Guarantor/Co-signer: If included in a lease envelope.

  5. Landlord: If the landlord needs to sign the lease rather than the agent signing on their behalf.

Approvers hold up the envelope. Click emails everyone on the lowest number that has not finished, and only moves on when they are all done. Nobody after an approver is contacted until the approver clicks Approve. If an envelope seems stuck, open it from Envelopes and look at the number beside each name: the lowest one still pending is who it is waiting for.

Removing an approver from an envelope that is already out: open the envelope from Envelopes, find the Approvers list and click the trash icon (Remove [name] as approver). There is no confirmation: the approver is removed at once and the next number is emailed straight away. The icon is gone once that person has approved. Signers cannot be removed this way; their row only has the pencil, Edit recipient.

Who sees Sign now. On Sign & send, Sign now appears only for the person in the first signing position, normally you, the agent who owns the envelope (it reads Approve now if you have nothing to sign). Anyone else preparing the envelope, such as a TC or assistant who is not a signer, sees only Send to first party. If you have approvers at number 1, you see Send to first party too, and you sign later from the envelope with Sign when it is your turn.

Understanding Signing Modes

Parallel Signing

  • In parallel signing, all recipients receive the document at the same time and can sign it simultaneously.

  • This is useful when there's no need for recipients to wait for others to sign before they act.

Sequential Signing

  • In sequential signing, recipients sign the document one after the other based on the set signing order.

  • The next recipient in line will only be able to sign after the previous signer has completed their action.

  • This mode ensures a structured signing process, where specific signers must review or approve the document first for compliance or legal reasons.

Steps to Configure the Signing Order

The Edit signing order modal over the Sign and send left column, listing three signers with order selectors set to 1, 2 and 2

Each signer gets a position. Two signers sharing a number receive the envelope together.

Setting Up Parallel Signing

  1. Navigate to the Sign & send page for the document envelope.

  2. Locate the Change signing order button on the left-hand side.

  3. Click on this button to open the Edit signing order window.

  4. Adjust the signing order by setting all recipients to have the same sequence number. - This means everyone is in the same group and will receive the request simultaneously.

  5. Click Save.

Setting Up Sequential Signing

  1. Go to the Sign & send page for the document envelope.

  2. Locate the Change signing order button on the left-hand side.

  3. Click on this button to open the Edit signing order window.

  4. Arrange them in the desired order by assigning sequential numbers for each recipient. - For example, set Recipient 1 as "1," Recipient 2 as "2," and so on.

  5. Confirm the order to ensure each recipient signs in the intended sequence.

  6. Click Save.

By understanding and configuring these signing modes, you can ensure a smooth document signing process tailored to your use case.
