Transaction Settings

Transaction Settings is where you build the templates that power your Document Checklist, Task Checklist, and Custom Terms across every transaction. This article covers where to find these settings and how to set up each one.

Where to Find Transaction Settings

There are two places to access Transaction Settings:

  1. Click the gear icon next to the New Transaction button

  2. Or, go to the left sidebar, click Settings, then Transactions

Both paths open the same screen, where you’ll find four sections: Document Checklists, Task Checklists, Custom Terms, and Transaction Labels.

Document Checklists

A document checklist with its document count and per-row menus

Each list shows how many documents it holds. The three dots beside it edit, clone or delete the whole list.

This powers the Documents section of every transaction, letting you build a compliance checklist for both the Buyer side and Listing side.

Managing an existing list: Click the three dots next to a list to:

  • Edit it

  • Clone it

  • Delete it

Creating a new list:

  1. Select Buyer or Listing at the top of the page

  2. Click Add Buyer documents checklist (Add Listing documents checklist on the Listing side)

  3. Give it a title and click Add Checklist

  4. Click Add document on the new list, then for each item:

    • Name the item

    • Add any help text or notes

    • Choose whether it should be required: tick Only required if applicable for a document that is only needed on some transactions

    • Click Add Document

  5. Continue adding items until your list is complete

  6. There is no Save button: each change is saved as you make it

Adding a list to new transactions automatically: Turn on Auto-add to new Buyer transactions (Listing on the Listing side) on a list, and every new transaction on that side starts with that list already on it. Transactions that already exist are not changed.

Task Checklists

A task checklist with six buyer-side tasks

A task checklist, with the assignee and due date each task will carry once a transaction uses it.

This powers the Tasks section of every transaction, and works the same way as the Document Checklist — with separate lists for Buyer Task and Listing Task.

Managing an existing list: Click the down arrow to expand a list and see everything included. Click the three dots to edit or delete it.

Creating a new list:

  1. Select Buyer or Listing at the top of the page

  2. Click Add Buyer tasks checklist (Add Listing tasks checklist on the Listing side), give it a title and click Add Checklist

  3. Add your checklist tasks one by one with Add task

  4. There is no Save button: each task is saved as soon as you add it

Adding a list to new transactions automatically: Task checklists have the same Auto-add to new Buyer transactions toggle (Listing on the Listing side). With it on, every new transaction on that side starts with these tasks already on it. Transactions that already exist are not changed.

Custom Terms

Custom terms sections with their fields and the add field tile

Terms sections and the fields inside them. Add Custom Field appends to the section you are looking at.

This powers the Terms section you see when you click into a transaction, with separate settings for Buyer and Listing side.

Click the arrow to expand and view the existing sections. Click the arrow next to a section to see everything currently included.

Adding a custom field:

  1. Click Add Custom Field

  2. Enter the field title

  3. Enter the field text

  4. Choose the field type: Date, Currency, or Dropdown

    • For drop downs, add your list of options

  5. Click Add Field

Organizing custom fields:

  • Reorder fields by clicking and dragging them into place

  • Delete a field by clicking the delete icon next to it

Transaction Labels

This powers the labels you can add to any transaction. Account admins create the labels here, each with a name, color and optional icon, up to a small catalog shared by the whole account.

Anyone with the manage-labels permission sees a link to this page from the label picker on a transaction, next to its buyer/listing badge, so new labels can be added without leaving the deal.

Labels are a visual marker only — they do not change who can see or access a transaction.
