Managing Documents in a Transaction

This article covers how to build and manage your document compliance checklist within a transaction — from setting up your list to adding, reviewing, and organizing documents.

Two Ways to See Your Documents

The Documents tab comes in two layouts, and the switch sits at the far right of the filter row.

List view puts every checklist item on its own line, with its status beside it. This is the view the rest of this article shows.

Cards view lays the same items out as tiles, and shows each document as a page thumbnail, so you can see what you are looking at before opening it.

Switch whenever you like — Click remembers your choice. On a narrow window the tab always uses the list, so the switch is not shown there.

Working with the Default Document List

Click provides a pre-made document list to start with inside every transaction's Documents tab. You can:

  • Remove items you don't need by clicking Remove

  • Change an item from If Applicable to Make Required by clicking directly on its status label — this changes its status to "Missing" until it's fulfilled, which is useful for enforcing compliance

  • Add a custom item by entering the item name, any help text, and marking it as if applicable, if needed

Want a fully custom list instead? Go to the left sidebar, click Settings, then Transactions — this is where you can build your own document checklist from scratch instead of using the default one.

Restoring Deleted Checklist Items

If you've accidentally removed an item that came from a template, you can bring it back using Restore from Template:

  1. Click the Restore from Template option on the checklist — a menu shows how many items are available to restore

  2. A window opens letting you pick which items to bring back, with a select all option

If the original template can no longer be found (for example, it was renamed or removed in Settings), the window will let you know and offer to add a custom item instead.

This only works for items that originally came from a template — a custom item you typed by hand and then deleted can't be recovered this way.

Adding Documents to Your List

There are a few ways to get documents into your checklist:

  1. Click on a document item (for example, one marked "Missing")

  2. Click Add Document to upload a file, or Add Link to attach a link instead

  3. If you chose Add Document, choose how to add it:

    • Pull in from Click — search for and select from any completed envelope

    • Upload from your computer — drag and drop the file, or click to browse

Unclassified Documents

If a document has already been completed in an envelope, it will automatically appear under Unclassified Documents. Simply drag and drop it onto the matching checklist item to file it correctly.

Managing Document Status

When a document is added to a checklist item, its status changes from Missing to New. From there, you can update it to:

  • Under Review

  • Needs Edits

  • Approved

If a checklist item is set to Auto-approve in Transaction Settings, it skips this manual flow: it moves straight to Approved whenever a document is added to it — whether that's the first document or another one added later by upload, drag-and-drop, envelope import, moving or splitting — no matter what status it was sitting at before.

Once a document is attached the status becomes New, and moves from there — unless the item is set to Auto-approve.

Adding Notes to a Document

Click the chat icon next to any document to add a note. Click keeps a running log underneath so you can always see what's been changed or updated, and by whom.

Additional Document Actions

  • Click the three dots next to a document to add a document, edit its name, sign it, archive it, or remove it

  • Archive a document by dragging and dropping it into the archived section — archived documents can be restored at any time

  • Filter your view to show only Approved, only Missing, or only If Applicable documents

  • Sign documents directly from this section

  • Forward documents — click Forward Documents, enter a recipient's email or select from contacts, add a subject and message, check the boxes for which documents to include, then send

  • Download documents straight from this view

  • Preview any document by clicking the "i" icon

  • Send to SkySlope, if that's what your brokerage uses for compliance tracking
